I. Job Purpose

• Comply with all applicable local laws and regulations.
• Support the maintenance of all GSP warehouse and MD hub warehouse activities under the instruction of the Executive in Hanoi.
• Support the filing and retention of GSP warehouse and MD hub warehouse documents for regulatory inspections and authority audits.

II. Job Description

1. Support GSP FIE Warehouse and MD hub warehouse Management activities.

• Support to investigate and propose the solution for Non‑confirmity products during inbound, outbound, storage and complaints from Customers.
  • Manage DDR (Deviation/Drug Destruction Report) activities, including reviewing DDR reports, following up corrective actions, monitoring pending cases, coordinating with responsible persons and maintaining DDR records.
  • Manage RF/SA (Reject Form/Stock Adjustment) process, including preparation of RF/SA forms, submission for approval, tracking approval status, coordinating stock adjustment activities and monitoring destruction clearance progress.
  • Maintain and update rejected goods records and destruction data in the designated system (e.g. Power Apps), and prepare periodic reports as required.
  • Follow up Btraqs records for non‑conforming products, ensure records are created timely and completed after QC disposition is available.
• Make sure goods storage in right location, quantity, quality and match between system and physical.
• Support to inspect and supervise the inventory count, investigate and give solution if have any mismatch during inventory management.
  • Perform routine warehouse inspections to ensure products are stored in the correct locations and under compliant storage conditions.
• Support to withdraw goods: Receive the withdraw information from sale/ QM/ Customers. Cooperate with relevant department to withdraw goods, make the withdraw report and report to higher manager for next steps processing.
• Monitor warehouse environmental conditions, including temperature and humidity records, and ensure compliance with GSP and internal requirements.
• Conduct periodic warehouse inspections covering housekeeping status, pest control, firefighting equipment, forklift inspection records, warehouse layout compliance, quarantine area management and inventory accuracy.
• Prepare monthly warehouse inspection reports and submit supporting documentation for review and approval.
• Inspect DDR and rejected products in quarantine areas and ensure segregation requirements are maintained.
• Coordinate with CSR, QC, Warehouse, and other related departments to resolve issues affecting inbound, outbound and storage activities, ensuring product quality and customer service requirements are fulfilled.
• Supervise and inspect all products before hand over for Dealers and send related documents to Dealers.
• Others tasks assign by directly manager.

1. Support audits of 3PL service providers; the GSP FIE warehouse and MD hub warehouse

• Weekly support to conduct warehouse inspection to 3PL/4PL to find out non‑conformity, then make CAPA and follow up until completion.
• Support to coordinate with QM to conduct periodical audit to 3PL/4PL, find out Non‑comformity, make CAPA and follow up to complete CAPA on time requirement.

1. Support the maintenance and control of GSP FIE documentation.

• Support to ensure all documents well maintenance and ready for any internal & external inspection for GSP Warehouse.

1. Support labeling management for GSP FIE & MD products

• Recheck and supervise the labeling activities to ensure the label have full information as law and do the right position on goods.

III. Job Requirement

• College degree or above (Bachelor's degree or higher is preferred), with at least 1 year of experience in Logistics or Supply Chain Management and the ability to read and write in English.

• Knowledge of Medical/Pharmaceutical products.
• Knowledge of GSP, GDP, GMP, ISO 9001, and ISO 13485.
• SAP knowledge.
